1. Introduction

Zenova Technologies LLC (“Zenova,” “we,” “us,” or “our”) values the privacy and security of all customers, licensed partners, and users who access the QuoteZen platform (“Platform”).
 

This policy outlines how Zenova collects, uses, stores, and protects data within its licensed, white-labeled environments (“Customer Instances”), and how data access and ownership align with our Subscription and User Agreements.

 

2. Scope

This policy applies to all organizations (“Licensed Customers”) and individual users (“Users”) who access or use the QuoteZen Platform, as well as vendors and partners who interact with Zenova Technologies LLC.

 

It governs:

  • Data collected within each licensed Customer Instance.
     

  • How Zenova processes, protects, and shares information.
     

  • Roles and responsibilities of Licensed Customers and Users with respect to data access and administration.

 

3. Data Collection and Use

Zenova may collect and process the following categories of data:

a. Customer Data
Information submitted, generated, or processed within a Customer Instance, including user-entered quotes, shipping details, pricing, and related transactional data.

 

b. User Data
Personal information such as name, email address, organization affiliation, and login activity, used to manage account access and security.

 

c. System and Diagnostic Data
Technical logs, device identifiers, IP addresses, and activity data used to monitor performance, detect security issues, and improve service reliability.

 

d. Aggregated Data
Anonymized or aggregated information derived from Customer Instances, used for analytics, benchmarking, and product improvement. This data cannot identify any specific Licensed Customer or User.

 

Zenova uses data to:

  • Deliver and maintain Platform functionality.
     

  • Provide support and security monitoring.
     

  • Improve system performance and develop new features.
     

  • Fulfill legal and contractual obligations.

 

4. Data Ownership and Access

  1. Ownership- All Customer Data and User Data within the Platform remain the exclusive property of Zenova Technologies LLC. Licensed Customers and Users receive access rights under their Subscription or User Agreement but do not acquire ownership.
     

  2. Access Rights-
     

    • Licensed Customers have administrative access to all data generated within their own Customer Instance.
       

    • Users may access only the data they are authorized to view within that instance.
       

    • No Licensed Customer or User may access data from another Customer Instance.
       

  3. Zenova Access- Zenova employees may access Customer Data only as necessary for support, maintenance, or compliance purposes, and only under strict confidentiality and security controls.

 

5. Data Protection and Security Measures

Zenova maintains commercially reasonable administrative, technical, and physical safeguards, including:

  • Access Control: Role-based permissions and authentication protocols to prevent unauthorized access.
     

  • Encryption: Data encryption in transit and at rest where applicable.
     

  • Monitoring: Continuous system monitoring to detect and respond to security threats.
     

  • Incident Response: Documented procedures to contain, investigate, and resolve security incidents promptly.

 

6. Data Sharing and Disclosure

Zenova does not sell or rent Customer or User Data. Data may be shared only when:

  • Required to enable Platform functionality (e.g., payment processing or integrations).
     

  • Necessary to comply with applicable laws, regulations, or lawful requests.
     

  • With express consent from the Licensed Customer or User.
     

  • In aggregated or anonymized form for analytics or performance insights.

 

7. Rights of Licensed Customers and Users

Licensed Customers and Users may:

  • Access or update their information within the Platform.
     

  • Request deletion or restriction of certain personal data, subject to contractual and legal obligations.
     

  • Contact Zenova to inquire about data processing practices at info@quotezen.io.
     

All data subject requests will be processed in coordination with the applicable Licensed Customer administrator.

 

8. Security Breach Notification

In the event of a confirmed security incident affecting Customer Data or User Data, Zenova will:

  • Promptly investigate the issue.
     

  • Notify the affected Licensed Customer(s) and Users when appropriate.

 

  • Cooperate to support mitigation and remediation efforts.

 

9. Retention of Data

Zenova retains Customer and User Data only for as long as necessary to fulfill contractual obligations, comply with legal requirements, and support system functionality. Data may be anonymized or deleted upon termination of a Subscription Agreement or as otherwise requested.

 

10. Updates to This Policy

Zenova may modify this Data Security and Privacy Policy from time to time to reflect operational, legal, or regulatory changes. Any material updates will be communicated to Licensed Customers and posted on our website. Continued use of the Platform after notice of updates constitutes acceptance of the revised policy.
